1. Who we are
Listify ("Listify," "we," "us") operates listing and marketing software for real estate professionals. This Privacy Policy describes how we collect, use, disclose, and otherwise process information in connection with our websites and services (the "Service").
2. Information we collect
We may collect the following categories of information:
- Account and identity. For example name, email address, and authentication identifiers from our sign-in provider (e.g. Clerk).
- Listing and workspace content. Property locations, descriptions, prices, features, notes, uploaded images, generated text or video metadata, snippets, and similar content you submit.
- Tool inputs. Text you provide to features such as cold-email or open-house helpers.
- Payment and billing. Limited payment-related data processed by our payment processor (e.g. Stripe); we generally do not store full payment card numbers.
- Usage and device data. Log data, IP address, browser type, device identifiers, pages viewed, and diagnostic or performance data.
- Communications. Messages you send us (e.g. support or feedback).
- Client deal status (client-facing timeline).If you use this feature, we store information you enter about each transaction, which may include the client's name and email (if you add an email for updates), the property address, expected closing date, optional per-step notes and target dates, notification preferences, and your branding/contact details shown to the client. Clients do not create an account — they open a unique link you share. We may log limited technical data when that link is accessed (for example IP address and a short user-agent snippet) to protect against abuse.
Your choice. You should not submit more personal or sensitive information than necessary to use the Service. You are responsible for obtaining any required consents from third parties whose information you include (for example clients or property occupants).
3. How we use information
We use information to:
- Provide, maintain, secure, and improve the Service;
- Authenticate users and manage accounts and subscriptions;
- Process payments and enforce plan limits;
- Run AI and media processing features you request;
- Communicate about the Service, including support and transactional messages;
- Operate optional deal-progress email notifications when you update a timeline, only when you enable email and record the consents our product requires;
- Detect, prevent, and address fraud, abuse, or technical issues;
- Comply with law and enforce our terms; and
- Analyze usage in aggregate or de-identified form to improve our product.
We may process information on the legal bases of contract, legitimate interests (where allowed), consent where required, and legal obligation, depending on context and applicable law.
4. How we share information
We may disclose information to:
- Service providers and subprocessors who assist us (for example hosting, database, authentication, analytics, email delivery, AI inference, image processing, and payment processing). They are contractually limited to processing on our instructions.
- Social or publishing platforms when you choose to connect accounts or publish content through the Service.
- Legal and safety when we believe disclosure is required by law, regulation, legal process, or governmental request, or to protect rights, safety, and security.
- Business transfers in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.
We do not sell personal information for money as that term is commonly understood under U.S. state privacy laws, and we do not build advertising profiles from deal progress or client contact fields you enter for timelines. We use those fields only to provide the Service (portal display and optional notifications). We may use cookies or similar technologies as described in our product and cookie notices where applicable.
5. AI and automated processing
When you use AI features, we may send relevant portions of your inputs to model providers to generate outputs. Those providers process data under their agreements with us and applicable law. Outputs may be wrong or incomplete; see our Terms of Service.
6. Retention
We retain information for as long as your account is active and as needed to provide the Service, comply with law, resolve disputes, and enforce agreements. Retention periods may vary by data type; we may delete or de-identify information when no longer needed.
Client deal status data. Each deal has an expected closing date you set. You may optionally record an actual closing date after funding. Automatic deletion uses the actual closing date when you have saved one; otherwise it uses the expected closing date. We keep the deal for a limited time after that anchor date, then permanently delete it (including stages, change history, and portal access logs for that deal), unless you delete it sooner from your account. Unless your deployment is configured otherwise, the default retention is 90 calendar days (about three months) after the anchor date (UTC calendar comparison). Operators can change this window or turn automatic deletion off via the environment variable TRANSACTION_DEAL_RETENTION_DAYS_AFTER_CLOSING (0 disables automatic deletion). Updating the anchor date changes when deletion may occur.
Client link expiry is not the same as deletion. You may set an optional expiry so a shared link stops working; that does not by itself erase data from our systems until you delete the deal or automatic retention runs.
7. Security
We implement reasonable technical and organizational measures designed to protect information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
8. International transfers
We may process information in the United States and other countries where we or our providers operate. Those countries may have different data protection laws. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. You may also have the right to lodge a complaint with a supervisory authority. Residents of certain U.S. states may have additional rights under state privacy laws (for example to opt out of certain sharing or to appeal denials).

10. Children
The Service is not directed to children under 16 (or the age required in your jurisdiction). We do not knowingly collect personal information from children. Contact us if you believe we have collected such information.
11. Changes
We may update this Privacy Policy from time to time. We will post the updated version and revise the "Last updated" date. Material changes may be communicated by email or in-app notice where required.
